Install and activate
Download the app, enter your licence key, and choose Basic, Pro or Firm.

Add your accounts
One account per real-world statement — each bank account and each credit card.

Set opening balances
The balance each account held the day your books begin, so the Balance Sheet ties out.

Import your statements
Drop a CSV, OFX/QFX or PDF onto an account and Neo-Capital reads the transactions.

Categorise and review
Anything it wasn't sure about waits on Review. Rules learn as you go.

Reconcile and report
Tick your books against a statement, then run the P&L, Balance Sheet and tax summaries.
Frequently asked questions
What is Neo-Capital?+
Double-entry accounting software for small businesses and the accountants who serve them. You buy it once and own it — there is no subscription for the desktop app, and your books live in a file on your own machine.
Where is my data stored?+
On your computer, in your own data folder. The desktop app works fully offline. Nothing is uploaded unless you deliberately turn on Connected or use the web version.
Do I need to connect my bank?+
No. Neo-Capital imports the statements you already download from your bank — CSV, OFX/QFX and PDF for supported institutions. There is no third-party bank-linking service in the middle.
What is the difference between Basic, Pro and Firm?+
Basic covers everyday bookkeeping for one business. Pro adds the full double-entry ledger, invoicing and accounts receivable, reconciliation and the accountant tools. Firm adds multi-client workflows for practices.
What is Connected?+
An optional paid add-on that syncs your books between your own devices — desktop, the web version and mobile — end-to-end encrypted. It is separate from the one-time licence, and the desktop app never requires it.
Can I move over from QuickBooks?+
Yes. There is a dedicated QuickBooks migration that brings across your chart of accounts, customers, vendors, items and transaction history.
Does it run on Mac?+
Yes — Neo-Capital ships for both Windows and macOS, and there is a browser version if you'd rather not install anything.
Do I need to know accounting to use it?+
No. Basic is written for business owners and keeps the double-entry machinery out of the way. Pro exposes the full ledger for people who want it, and your accountant can work in the same file.
