Neo-Capital is accounting software published by Neo-Capital LLC. It comes two ways: Desktop, a program that runs on your computer, and Online, which runs in your browser. Desktop owners can also add Connected, an optional subscription that stores their books online so they can use them in a browser and on their phone. This policy explains what we collect, where your books are kept, and what we can and can't see.
1.The short version
On Desktop, your books stay in a file on your computer and are not sent to us unless you add Connected. On Online and Connected, we store your books encrypted with a key that comes from your password, so the stored copy is something we cannot open. While you are signed in and working, our servers decrypt your books in a private, temporary workspace so the program can run, then encrypt them again and delete the temporary copy when you finish. We never sell your data, and we never use your books for advertising.
2.Desktop: what the program keeps on your computer
On your computer, Neo-Capital stores your books in a local database file, any backups you create, your settings, and your license key. None of this is sent to us. Uninstalling the program does not delete your data file. It stays with you. If you add Connected, item 3 applies to the books you choose to sync.
3.Online and Connected: how your books are stored
Your books are encrypted with AES-256 using a key derived from your password in your own browser. We store only the encrypted books and the encrypted keys that open them, and our staff cannot read the stored copy. When you sign in and open your books, our servers decrypt them into a temporary workspace that belongs to your session alone, so the program can run for you. When you sign out or stop using it for a while, the books are encrypted again, saved, and the temporary copy is deleted. People you invite can open only the businesses you invite them to, with the access level you give them.
4.What we collect when you buy or subscribe
When you buy a license or start a subscription, we and our payment processor receive your name, email address, and the billing details needed to complete the sale. Payment is handled by Stripe. We never receive or store your full card number. We also record what you bought, your subscription status, and any license key we generate for you. We use this to deliver your purchase, provide support, honor refunds, and meet our legal and tax obligations.
5.Desktop license checks are offline after activation
When you first activate a key on a computer, the program makes a single call to our licensing server to confirm the key and register that computer (so we can enforce how many computers a license covers). After that it verifies your license locally, using a public key built into the software. It doesn't report your usage, and everyday use works fully offline.
6.Account sign-in records
If you have a Neo-Capital account, we keep a record each time it is signed in to: when it happened, the IP address, the browser or app used, and an approximate location (city, region and country) worked out from that IP address. We use these records for security only: to show you your recent sign-ins on your account page, and to email you when a sign-in comes from a device your account has not used before. They are shown to you alone, never to people you share your books with, and they are never sold or used for advertising.
7.Bank feeds and services you connect
On Online and Connected, bank feeds come through Plaid. You sign in to your bank on Plaid's screen, so we never see your bank password, and Plaid sends us your accounts, balances and transactions so we can bring them into your books. Plaid handles your information under its own End User Privacy Policy. On Desktop without Connected, you can link banks through the SimpleFIN bridge instead; the program downloads your transactions from SimpleFIN directly, and they don't pass through us. When you connect another service, such as Shopify, Amazon, Etsy, Stripe, Square, PayPal, Gusto or Meta Ads, the data it sends comes into your books under that service's own terms, and you can disconnect it at any time.
8.AI features
AI is optional, and there are two ways to use it. If you connect your own AI assistant (for example Claude, Gemini or Codex) through an MCP client, the prompts and the data from your books you choose to share go directly to that provider under their privacy policy and terms, and we don't see those conversations. If you use Neo-Capital AI, our optional add-on, your questions and the information from your books needed to answer them are sent through our servers to Anthropic, which provides the AI model. We keep a record of how much each request used (for your credits), not the conversation itself. The chat assistant on this website is different: your questions go to Anthropic to be answered, and we keep the conversation (your questions and its answers, and the page you started on, but not your IP address) for 90 days so we can check and improve its answers. After 90 days it is deleted automatically.
9.Error reports
If the program runs into an error, it keeps the details on your computer. They are sent to us only if you choose to send them, or if you turn on automatic error reports (off by default). Before anything is saved, names, amounts and other numbers are removed from the error message, and your books are never included.
10.Website analytics
neocapital.app uses privacy-friendly, aggregate analytics (Vercel Analytics) to understand traffic, such as page views and referrers. We also record simple events on the site, like a click on a pricing button, with a random ID stored in your browser and the campaign you came from, so we can see which pages help people. We don't use any of this to build advertising profiles, and we don't sell your data. The advertising tags on our public pages are described in item 11.
11.Advertising measurement
Our public marketing pages, such as the home page, pricing, the blog and the help pages, use the Meta pixel and the Google Ads tag to measure which of our ads lead to sign-ups and purchases. The sign-up page and the page you see after paying use them too, because that is where a sign-up or purchase is counted. They are never loaded in your account, in your books, in the Desktop program, or in the phone app. On the pages that use them, Meta and Google receive the pages you visit, your IP address, information about your browser, and a cookie that each of them sets. When you sign up for our emails, start a free trial, or buy, they also receive that this happened and, for a purchase, the amount. At the start of a trial and at a purchase that began on those pages, we also send Meta your email address in hashed form (a one-way code that Meta can compare with its own records but that does not contain the address itself), so the sign-up can be matched to the ad you saw. Nothing from your books is ever sent. You can limit how Meta and Google use this for ads in Meta's ad preferences and Google's My Ad Center, and you can block these tags with your browser's tracking protection or a content blocker without losing anything on our site. 12.Email
After a purchase we email your license key and download links, and we reply when you contact support. If you have an account, we also email you about security, such as a sign-in from a new device. If you sign up for our emails (for example to get a free download or new posts from our blog), we keep your email address, the date and page you signed up on, the wording you agreed to, and your IP address as a record of your consent. Every one of those emails has an unsubscribe link. We don't sell or rent your email address or send marketing without your consent.
13.Services we rely on
Stripe (payments), Vercel (website hosting and analytics, including the approximate location of a sign-in), Neon (our database, which holds your account records and the encrypted copy of Online and Connected books), Fly.io (the servers that run Online), Supabase (account sign-in), Plaid (bank feeds), Anthropic (Neo-Capital AI and the website chat assistant), Resend (email), and Meta and Google (measuring our ads, item 11). Each handles only the information it needs to do its job.
14.How long we keep things
Desktop books stay on your computer and are never held by us. Online and Connected books are kept, encrypted, for as long as your account exists, including after you cancel, so you can come back to them or export them. We keep purchase and license records for as long as needed to provide support, honor refunds, and meet legal and tax requirements (up to 7 years). Sign-in records are kept for 12 months, error reports for 90 days, and resolved support tickets for 3 years. A book you delete stays in Recently deleted for 30 days so you can restore it, then it is erased, and deleting your account removes your books and account records at once. These periods are enforced automatically every day. If you unsubscribe from our emails, we keep your address marked as unsubscribed so you are never emailed again.
15.Your rights
You can ask us for a copy of the personal information we hold about you, or ask us to delete it, by emailing help@neocapital.app. You can also download that information yourself from your account page. Deleting your account permanently deletes it along with the encrypted books you own and your sign-in records. If you own a workspace other people use, we'll ask you to hand it over or close it first, so nobody else loses their books. Records we must keep by law, such as purchase records, are kept for as long as the law requires.
16.Children
Neo-Capital is intended for business and personal bookkeeping by adults. It is not directed to children, and we do not knowingly collect information from anyone under 16.

We may update this policy from time to time. When we do, we'll revise the "last updated" date above.
