Neo-Capital vs FreshBooks

FreshBooks is invoicing software with bookkeeping attached. Neo-Capital is a full accounting system that happens to invoice beautifully.

14 days free on Online, 5-day trial on Desktop, no card either way

FreshBooks is genuinely pleasant for what it is: freelancer invoicing with time tracking and expense capture, from about $21 a month with client caps on the lower plans. The catch shows up at tax time or the first serious conversation with a lender or accountant: it is not a full double-entry system in the way accountants mean it, and its reports run out of road as a business grows.

Neo-Capital covers FreshBooks' home turf, branded invoices that email themselves with a pay button, time tracked by client or job and pulled onto invoices, receipts snapped from a phone, and puts a real general ledger underneath: balance sheet, trial balance, reconciliation, period close, and an audit trail a CPA can rely on. From $19 a month with no client caps, or owned outright from $49.

Where FreshBooks is genuinely strong

Simplicity for the solo service business. If your whole financial life is 'send invoices, track hours, snap receipts', FreshBooks does that with very little to learn, and its client-facing touches, like retainers and proposals, are mature. Its phone apps are polished and its support has a good reputation.

Where Neo-Capital wins

You don't outgrow it. The same friendly surface (Basic hides the accounting vocabulary entirely) sits on books that satisfy a CPA, a lender, or an audit: real statements, reconciliation, close, and history that ties. When you hire, add a business, carry inventory, or need a balance sheet that means something, it's already there, and no client caps, ever.

Switching from FreshBooks

Export your FreshBooks clients, invoices, and expenses as CSV and import them through Neo-Capital's review queue. Invoicing feels familiar on day one; the accounting underneath is simply real from the start.

Questions

Neo-Capital vs FreshBooks, asked plainly

Is FreshBooks real double-entry accounting?

FreshBooks added double-entry features over time, but its reporting and accountant workflows remain limited compared with a full ledger system. Neo-Capital posts every transaction as balanced debits and credits to a general ledger with a trial balance, reconciliation, and period close.

Does Neo-Capital do time tracking and invoicing like FreshBooks?

Yes: hours by client or job pulled straight onto branded invoices, with online card payment through your own Stripe or Square, plus receipt capture from the mobile app.

Is Neo-Capital harder to use than FreshBooks?

Basic is built for people who never want to see a debit: tag what a transaction was and the balanced entry posts behind the scenes. The accountant machinery exists, but it stays out of your way until you want it.

What does switching cost?

Neo-Capital Online starts at $19/month with a 14-day free trial, or Desktop is $49 once. Your FreshBooks data comes over by CSV export.
