Every feature on one page
Features are available on Online and Desktop unless a note says otherwise.
Core accounting
Your books, bank feeds, sales and expenses.
General Ledger
Every transaction is recorded as balanced debits and credits in a general ledger. On Basic, the ledger works in the background. Pro and Firm show the full ledger, registers and chart of accounts.
- Account registers, the general ledger, and a full chart of accounts
- A trial balance as of any date
- Cash or accrual basis on each report on Pro and Firm. Basic reports on a cash basis.
- A tamper-evident audit trail that records every entry, edit and period close
Bank Feeds & Review
Link your accounts and new transactions land in a review queue. Rules suggest a category for the ones they recognize, you approve or change each one, and one click saves your choice as a rule for next time.
- Bank feeds are included on Online and with Connected. On Desktop without Connected, you can use SimpleFIN (about $15 a year, paid to SimpleFIN) or import statements.
- CSV and PDF statements go into the same review list
- More than 150 built-in category rules, plus the rules you create
- Nothing is added to your books until you review it
Shopify, Amazon & Etsy
When you sell on a marketplace, each payout is split into its sales, refunds, fees and tax. The parts must add up to the bank deposit before the payout is imported.
- Shopify payouts: charges, refunds, adjustments, reserves, and fees
- Amazon settlements: sales, sales tax, and every fee on its own line, tied to the deposit to the cent
- Etsy's payment ledger: sales, fees, refunds, and deposits, checked against Etsy's own balance
- Products import from all three; Shopify orders also feed sales-tax nexus and the Operations Dashboard
- Connects with your own seller account, and nothing is recorded until you review it
Invoicing & Get Paid
Create branded invoices, estimates and sales orders, and use the aging report to see which customers are late. If you connect your own Stripe account, customers can pay each invoice online.
- Email invoices with a payment link included
- Card payments are recorded in your books with the fees listed separately
- A/R aging, customer records, and statements you can send
- Get Paid is included on every tier, and you use your own Stripe account
Bills & A/P
Keep vendor records with payment terms, enter bills, and track them until they are paid. You can see what you owe next to what customers owe you.
- Bills, vendor credits, and A/P aging
- Full vendor records with terms and balance detail
- 1099 flags on vendors, tracked all year
Reconciliation & Close
Reconcile each account against its bank statement. On Pro and Firm, you can then close the period so it cannot be changed. The audit trail shows that a closed year was not edited.
- Statement-by-statement bank reconciliation
- Period close with a tamper-evident history
- Closed years stay locked for your CPA
Inventory
Track stock with weighted-average costing. Cost of goods sold is recorded when you sell, and you can build assemblies from a bill of materials.
- Items, receipts, and item-level revenue, cost, and margin
- Assemblies from a bill of materials
- Cost of goods sold is recorded with each sale
Choose Your Features
You can turn off any part of the program you do not need, and it is removed from the menus, dashboards, report lists and checklists. That way, the program only shows what your business uses.
- Around twenty switches: invoicing, bills, estimates, inventory, sales tax, time tracking, jobs, classes, budgets, AI, email, and more
- Set for you from a few questions at setup, changeable any time
- Turning a feature off does not hide your data. Any balance still appears on the balance sheet.
- Warns you first if the feature you are turning off still has records
Taxes
Tax numbers are kept up to date throughout the year, so they are ready when you file.
Tax Return Worksheets
Choose your type of business, and your books are organized by the lines of the return you file: Schedule C for a sole proprietor, Form 1065 for a partnership, 1120-S for an S corporation, 1120 for a C corporation, and 990 for a non-profit. Each category is mapped to its line all year.
- The correct form for your business type, filled in from your books
- A book-to-tax reconciliation from net income to the return, the way a preparer expects it
- Meals limited to 50%, and nondeductible items left off the return
- Export to TurboTax, ProSeries, and Lacerte (TXF), or as CSV and PDF
Deductions
Each categorized transaction is sorted by how it counts on your return, so you can see your deductions throughout the year.
- Deductible spending by category, with each category's deductible share
- Standard mileage from your logged trips, at the IRS rate for each date
- The simplified home office deduction
- The same numbers on the return, the estimate, and the deductions list
Quarterly Estimates & Payments
Estimates what you will owe for the year based on your current books and splits it into four quarterly payments. When you record each payment, it shows what you have paid and what is left.
- Self-employment tax, federal brackets, your state rate, and the QBI deduction
- Safe harbor from last year's tax, so you know the least you can pay without a penalty
- Record estimated payments; each quarter shows paid and remaining
- A suggested set-aside percentage and a tax reserve account for it
- Every due date in a calendar file for your phone or computer
Should You Be an S-Corp?
Compares your projected taxes as a sole proprietor and as an S corporation paying you a salary, using your own books, and shows the difference.
- Payroll taxes on the salary, the rest as a distribution
- The cost of running an S corporation counted against the savings
- The profit level where an S corporation no longer saves you money
- Your salary is an input, because reasonable pay is a judgement call
Depreciation & Form 4562
Keep a register of equipment and calculate depreciation on the schedule your return uses. When you record a purchase as an asset, each year's deduction is calculated and posted for you.
- MACRS, Section 179, bonus depreciation, and straight-line
- The mid-quarter convention and business-use percentage applied for you
- Form 4562 as CSV and PDF
- Disposals book the proceeds and the gain or loss
1099 Contractors
Contractor payments are tracked all year, so at year end you have a list of who needs a 1099 and how much each was paid.
- Who crossed the threshold, and what each was paid
- Payments sorted to the right box: 1099-NEC, or 1099-MISC for rent and other income
- Card payments left out, because the card company reports those
- Flags a contractor missing a name, tax ID, address, or W-9 before you need it
- The summary as CSV and PDF
Sales Tax Center
Tracks the sales tax on your invoices in one place, including what you owe each agency for each period, when it is due, and each payment you have made.
- Liability by agency and by filing period
- Due dates tracked, with remittances recorded against them
- Adjustments for rounding, discounts, credits, penalties, and interest
- A filed period stays as filed when a product changes later
Multi-State Nexus
If you sell into other states, it compares your sales to each state's economic nexus threshold so you know where you may need to register and file.
- Economic-nexus monitoring across all 50 states plus DC
- Threshold warnings before a state starts expecting a return
- Per-state detail, filings, and refunds
- Shopify orders import straight into the tracker
Reports & insight
Financial statements that update as you review transactions, and easy ways to share them.
Reporting
Run profit and loss, balance sheet, cash flow, aging and trial balance reports for any period. Pro and Firm can switch between cash and accrual. You can also view the profit and loss as a flow chart that shows where each dollar went.
- Financial statements update as you review transactions
- The profit and loss as a flow chart
- Year-over-year, vendor concentration, and dashboard KPIs
Operations Dashboard
A daily view of your store sales and ad spending by date, showing what you kept after costs. It does not change your books.
- Sales, product cost, shipping, refunds, and ad spend, down to contribution margin
- Return on ad spend, average order value, and your top products
- Pulled from Shopify, Amazon, Etsy, Meta Ads, and Google Ads
- Add your own costs or earnings, once or daily, weekly, or monthly, so it works for any business
- A daily chart and a flow of where each dollar went, for today or any range up to a year
Exports & CPA Hand-off
Close the year and give your CPA one complete package. You can also export any statement for any date range in the format you need.
- The hand-off ZIP: statements, Schedule C worksheet, ledger, 1099 candidates, mileage log
- CSV, accountant format, and PDF exports
- Any date range: quarterly, per-client, or the whole year
Client Dashboards
Publish a read-only dashboard for each client. It shows revenue, profit, cash, expenses, A/R and trends, with your branding and notes. Clients can view it but cannot change the books.
- One publishable dashboard per client
- Clients see the numbers without signing in to your books
- Your branding and your notes
Subscription Tracking
It looks through your bank history for repeating charges. You mark each one as a subscription, a bill or not recurring. After that, each new charge is compared to what you expect, so price increases and stopped charges are flagged.
- Looks for recurring charges after each import and bank sync
- What your subscriptions cost a month and a year, and what is coming up in the next 30 days
- Price changes flagged; a subscription that stops charging is offered as canceled, never marked for you
- Yearly renewals called out 14 days ahead, while there is still time to cancel
- Budgets show what is already committed and what is left to spend
- Optional email alerts for new charges, price changes, and renewals
Advanced planning
Track debts, forecast cash, and compare spending to your budget.
Debts & Loans
See every debt your business has on one page, with its payoff date. Enter the terms once, and it tracks each loan, advance and credit card using the payments in your bank feed. It shows how much is left, what the borrowing costs, and when it will be paid off.
- Overview: total debt, how it has moved over the last 12 months, and the interest and fees you've paid
- Amortized and flat-interest loans, with each payment split into principal and interest
- Revenue-share advances like Shopify Capital: remittances found in the bank feed, payoff pace, and the real APR of the fee
- Credit cards: add the APR and payment and see when you'll be debt-free and what the interest will cost
- Finds the debts already on your books that have no terms yet, so none are left out
Cash Flow Forecasting
There are two forecasts. The weekly forecast shows what your open invoices and bills will bring in and pay out. The monthly forecast projects your cash balance and shows the month it would run out if nothing changes.
- Weekly: money due in and due out for up to 26 weeks, overdue included, with a running total
- Monthly: your balance projected from your last six months, or from just your recurring charges
- Change any single month to see what a slow season or a big order does
- A runway warning with the lowest point your cash reaches and when
Budgets: Actual vs Budget
Set a monthly budget for each category, or use suggested amounts based on your last six months. Each month you can compare your spending to the budget and see spending you did not plan for.
- Budget vs Actual for any month: target, spent, remaining, and percent used, with overspending flagged
- Spending in categories you never budgeted, listed so nothing hides
- Committed and left to spend, from the subscriptions and bills already on the calendar
- One click adds a budget line for a category that has commitments but no target
On the go
Record expenses, mileage and receipts on your phone, in the same books you use on your computer.
Mobile App
Add the mobile app to your phone's home screen. It shows your dashboard and cash flow, and lets you record expenses and sales. Entries made offline are saved and sync when you reconnect. You can lock it with Face ID or your fingerprint.
- Dashboard and cash flow on your phone
- Record an expense or a sale quickly
- Entries made offline sync when you reconnect
- A read-only AI assistant for questions about your books (requires the paid Neo-Capital AI add-on, from $19 a month, or your own AI key)
- Biometric lock
Mileage Tracking
Record a trip in the mobile app and it is added to your mileage log at the IRS rate. It counts toward your deduction and is included in the CPA package.
- Record trips from the mobile app
- IRS standard mileage rate applied
- Mileage log included in exports
Receipt Capture
Take a photo of a receipt, and it is read and attached to its transaction so your records stay in your books.
- Receipt reading on capture
- Attachments stored against the transaction
- Documents ready when an auditor or CPA asks
Working together
Invite other people into your books and choose what each of them can do.
Workspaces & Roles
Invite your accountant, staff or field workers into the same books. Five built-in roles control who can post entries, who can close a period, and who can only view. On the Firm plan you can also build your own roles: for each part of the books, such as sales, expenses or reports, you choose whether a person cannot see it, can view it, or can edit it. On Desktop, the owner adds Connected, and the people you invite do not need their own subscription. Your data is encrypted in storage and in transit.
- Owner, accountant, staff, field, and viewer roles
- Your own roles on the Firm plan, set part by part (none, view or edit)
- The same books on each of your computers
- Encrypted sync between computers (Desktop with Connected)
Correspondence
Your accountant can ask a question about a specific transaction inside Neo-Capital, and you can answer it there. The conversation stays attached to that transaction.
- Ask about a transaction or an unposted bank row, or send a batch of questions at once
- Yes-or-no questions answered in one click, or open questions that need a written reply
- Attach PDFs, Word documents, and spreadsheets to a reply
- Every thread is open until the person who asked closes it, and the history stays
- For the people you share a set of books with, on Online and Connected
Time & Job Tracking
Track hours by client or job and add them to an invoice. You do not need a separate timer app or spreadsheet.
- Hours logged by client or job
- Time pulled directly onto invoices
- Field staff log hours from their own phones
Neo-Capital Email
Invoices, payment reminders, statements and scheduled reports are sent under your business name, and replies come back to you. Emails are authenticated with SPF and DKIM to help them reach the inbox.
- Included on Online and Connected: up to 500 emails a month on Basic and 2,000 on Pro and Firm
- On Desktop without Connected, use your own Resend key at no charge from us
- Scheduled report runs on the calendar you set
Intelligence & growth
Optional paid add-ons for AI and advertising, and connections to the services you already use.
Neo-Capital AI
Neo-Capital AI is a paid add-on. It is an assistant that can suggest categories, look for deductions, explain reports and answer questions in the app. It uses monthly credits. You can also connect your own AI instead, at no charge from us.
- 200, 600, or 1,800 credits a month at $19, $49, or $129
- Extra credit packs that never expire: 500 credits for $40 or 2,000 credits for $150
- Bring your own AI over MCP (Claude, ChatGPT, Gemini) for free
- Saved facts: tell it once how your business works and every answer uses it
- Skills: write a procedure once, like your month-end routine, and run it by name in any of your books
- Your own AI reads the same facts and skills over MCP, and saves a fact when you ask it to
- The AI suggests changes for you to approve. It never posts anything on its own.
The User Manual
Step-by-step instructions for every feature, built into the program. There is one manual for Desktop and one for Online, and the search understands typos and different words for the same thing.
- Chapters from first launch to closing the books, around 14,000 words each
- Search that forgives typos and understands the other words for the same thing
- Opens from the settings menu, over whatever page you're on
- Neo-Capital AI, and your own AI over MCP, search and read it to answer how-to questions
Neo-Capital Ads
Neo-Capital Ads costs $29 a month. You can plan, launch and track Meta ad campaigns inside Neo-Capital and see them next to the revenue they bring in. AI features in Ads use Neo-Capital AI credits or your own AI.
- Campaigns, audiences, and creatives managed in-app
- Ad spend and results beside the books that fund them
- $29 a month on Online or Desktop. Desktop does not require Connected.
Integrations
Connect Shopify, Amazon, Etsy, Stripe, Square, PayPal and Gusto with the accounts you already have. Bank feeds cover about 10,000 US banks. Sales, fees and payroll come in itemized.
- Commerce and payroll connections use your own accounts and are available on every tier
- Payouts are split into their parts so deposits and fees are not counted twice
- See the full list on the Integrations page
Moving in
Move your existing records into Neo-Capital from other software or spreadsheets.
Move From Other Software
Bring your books over with their full history so you can continue where you left off. It tells you which files to export from your old software, shows a preview before anything is saved, and checks the result against your old reports.
- QuickBooks: chart of accounts, customers, vendors, items, invoices, payments, bills, journal entries, and full history
- Xero, Wave, and FreshBooks from their standard exports
- Step-by-step export instructions for each product, with links to its own help pages
- Checked against the balance sheet and P&L you exported, so you know everything came across
- You can run it again without importing anything twice
Store Sales From a Spreadsheet
If you prefer not to connect your store, you can download its export each month and upload it. Sales, fees, refunds, tax and payouts are sorted the same way as with a live connection.
- Shopify and Amazon payout and settlement exports
- Etsy statements and Big Cartel orders
- Big Cartel sales matched to the Stripe or PayPal charges that paid them, so no sale counts twice
- Every platform posts through a clearing account that comes back to zero when it all ties
- Shows what each platform has already brought in, and over what dates
Spreadsheet Templates
For other records, download a spreadsheet template, fill it in, and import it after checking a preview.
- Customers, vendors, products and services, jobs, opening balances, and unpaid invoices
- Pro and Firm add the chart of accounts, classes, employees, unpaid bills, and an opening trial balance
- Each template includes two example rows, which are skipped if you leave them in
- Bank and card statements come in from any bank as CSV or PDF
Available on Online and Desktop
Online and Desktop use the same accounting engine. Features marked “Desktop with Connected” need Connected on Desktop.
